Form W-2 is used to report the wages, tips, and other compensation paid to an employee by an employer. An extension of time to file Form W-2 can be requested by filing Form 8809, Application for Extension of Time to File Information Returns, with the IRS.
However, Form 8809 cannot be e-filed for Form W-2. This is because the IRS requires paper copies of Forms W-2 to be submitted with Form 8809. The IRS needs the actual Form W-2 to ensure that the information provided on Form 8809 is accurate and complete.
Therefore, to request an extension of time to file Form W-2, the employer must complete a paper copy of Form 8809 and mail it to the SSA along with paper copies of Form W-2 on or before the paper filing deadline (January 31).
Note: Extension requests for Form 1099-NEC, 1099-QA, and 5498-QA, must also be submitted on paper rather than e-filing.
